How to Compress a PDF to an Exact File Size (Free)
Job portal says your PDF must be under 2MB? Learn how to compress a PDF to any exact file size target — 500KB, 1MB, 2MB — for free, no software needed.
Government portals, job application sites, and university submission systems all have one thing in common: a strict file size limit. "Maximum 2MB" or "file must be under 1MB" are frustratingly common requirements. Standard PDF compressors give you quality presets — but no guarantee you'll land under the limit. Here's how to compress a PDF to an exact target size.
Why portals have strict PDF size limits
Upload limits exist for practical reasons — server storage, processing speed, and bandwidth. Government portals often cap uploads at 500KB or 1MB to keep their systems fast for millions of users. Job application systems typically allow 2–5MB. University submission portals vary widely — some allow 10MB, others just 2MB. Whatever the limit, your document needs to fit or it won't go through.
How to compress a PDF to an exact file size
PDFSpot's Compress PDF to Size tool lets you set a target — 500KB, 1MB, 2MB, 5MB, or a custom value — and automatically compresses your PDF to fit. It tries lossless optimisation first (stripping metadata, compressing streams). If that's not enough, it progressively reduces image resolution until the target is hit.
- 1Upload your PDF to the Compress PDF to Size tool.
- 2Select your target file size from the dropdown (500KB, 1MB, 2MB, 5MB, or enter a custom value).
- 3Click Compress and wait a few seconds.
- 4Download the result — the tool shows the achieved size so you can confirm it meets your requirement.
What happens during compression?
The tool uses a two-stage approach. First, it runs lossless optimisation — removing hidden metadata, compressing internal data streams, and stripping redundant object definitions. This is invisible to the reader and preserves quality completely. If the file is still over the target after this step, the tool progressively resamples embedded images at lower DPI (150 → 120 → 96 → 72 → 48), stopping as soon as the target is reached.
Text in PDFs is stored as vector data and is never degraded — only images are resampled. So your document text stays perfectly sharp regardless of how aggressively images are compressed.
What if the PDF still won't compress to the target?
If a PDF has already been heavily compressed, there's a floor below which quality becomes unacceptable. In that case, the tool downloads the most compressed version it could achieve and tells you the actual size. Your options at that point:
1. Split the PDF — submit the most relevant pages only. 2. Remove images — if some pages have large photos that aren't essential, use the Remove Images tool. 3. Scan at a lower DPI — if the PDF came from a physical scanner, re-scan at 150 DPI instead of 300 DPI.
Common file size targets and their use cases
500KB — Indian government portals (UPSC, SSC, state job boards), visa application scans 1MB — Most document upload portals, some bank forms 2MB — Job application systems (LinkedIn, Workday, Greenhouse), university admissions 5MB — General web forms, company HR portals 10MB — Email attachments (Gmail), WhatsApp documents
If you're not sure what the limit is, check the portal's help page or submission instructions. Most display the limit near the upload button.
How is this different from regular PDF compression?
Standard PDF compressors offer quality presets — Low, Medium, High — without a size guarantee. You might compress to "Medium" and still get a 3MB file when you needed under 2MB. Compress PDF to Size takes a different approach: you set the target, and the tool works backwards from that target, finding the minimum compression needed to meet it. This means you get the best possible quality at or under your limit every time.
