Why portals have strict PDF size limits

Upload limits exist for practical reasons — server storage, processing speed, and bandwidth. Government portals often cap uploads at 500KB or 1MB to keep their systems fast for millions of users. Job application systems typically allow 2–5MB. University submission portals vary widely — some allow 10MB, others just 2MB. Whatever the limit, your document needs to fit or it won't go through.

How to compress a PDF to an exact file size

What happens during compression?

The tool uses a two-stage approach. First, it runs lossless optimisation — removing hidden metadata, compressing internal data streams, and stripping redundant object definitions. If the file is still over the target after this step, the tool progressively resamples embedded images at lower DPI (150 → 120 → 96 → 72 → 48), stopping as soon as the target is reached.

What if the PDF still won't compress to the target?

If a PDF has already been heavily compressed, there's a floor below which quality becomes unacceptable. In that case, the tool downloads the most compressed version it could achieve and tells you the actual size. Your options at that point:

1. Split the PDF — submit the most relevant pages only. 2. Remove images — if some pages have large photos that aren't essential, use the Remove Images tool. 3. Scan at a lower DPI — if the PDF came from a physical scanner, re-scan at 150 DPI instead of 300 DPI.
